1. Overview

This policy explains how changes, cancellations, and refunds work for a reservation our team has made on your behalf. It works alongside our Terms & Conditions and forms part of them.

Two things are worth knowing before you read on:

  • Searching this site is free. There is nothing to cancel or refund unless you have made a booking with us by phone.
  • BestTripsNow.com is an independent booking-assistance service, not a rail carrier. We do not issue tickets and we do not set fare rules. Your ticket is issued by the operating carrier, and the carrier's rules determine what a ticket is worth once it is booked.

2. Who Decides What You Get Back

The refund or credit you are entitled to is governed by the fare rules of the ticket you bought, which are set by the operating carrier at the time of booking. We do not set those rules, we cannot override them, and we cannot approve a refund the carrier declines.

What we do is act for you: we tell you the applicable fare rules before you pay, we submit your cancellation or refund request to the carrier, we chase it, and we pass back to you whatever the carrier releases, less only the amounts described in section 4. We do not take a cut of your refund.

Because rules differ by carrier, route, and fare, we will not quote you a refund figure we cannot honor. When you call to cancel, we will check your specific booking against the carrier's rules and tell you the actual amount before anything is processed.

3. Fare Types & What They Allow

Rail fares generally fall into these categories. The category that applies to your ticket is disclosed to you before you authorize payment and is stated on your booking confirmation.

  • Flexible or refundable fares — typically allow cancellation for a full or near-full refund to the original payment method, and changes with little or no penalty, up to the deadline the carrier sets.
  • Semi-flexible fares — typically allow cancellation for a partial refund, or a full-value travel credit or voucher with the carrier, often subject to a cancellation fee and a deadline before departure.
  • Saver, promotional, or discounted fares — typically carry the strictest rules and may be non-refundable, changeable only for a fee, or refundable only as a credit. Where a fare is non-refundable, we will say so clearly on the call and on your confirmation before you pay.

Deadlines are commonly expressed relative to scheduled departure — many carriers draw the line at 24 hours before departure, after which a ticket's value drops or is lost entirely. These are illustrations of how rail fares usually work, not a promise about your ticket. Your booking confirmation states the rules that actually apply to you.

Some carriers also operate a short "courtesy" or "risk-free" window shortly after booking during which a reservation can be cancelled without penalty. Where the carrier on your booking offers one, we will tell you about it and we will not charge you anything to use it.

4. How Our Service Fee Is Treated

Where an assisted-booking service fee applied to your reservation — $10 to $100, depending on the complexity of the itinerary — it was quoted to you as a separate line item and agreed by you before payment. It is charged for the work of making the booking, and its treatment on a refund is as follows:

  • You cancel or change a booking we made correctly: the carrier's fare is refunded according to its fare rules; our service fee has already been earned and is not refunded.
  • The carrier cancels the service, or the booking could not be completed: you are refunded in full, including our service fee.
  • We made an error — for example we booked the wrong date, route, or passenger name against what you authorized: we fix it at our cost and refund our service fee in full. See section 9.
  • A change fee charged by the carrier is the carrier's charge, not ours, and is deducted from what the carrier releases.

We do not charge a separate fee to process a cancellation or a refund request.

5. How to Request a Change, Cancellation, or Refund

Contact us as early as you can — with rail fares, the deadline is usually what determines the outcome.

  1. Call +1 (888) 413-4712, email tickets@besttripsnow.com, or use the contact form and choose "Refund or Cancellation".
  2. Give us your booking reference, the lead passenger name, and the travel date and route.
  3. We check your booking against the carrier's fare rules and tell you exactly what you will get back, and what if anything will be deducted, before we process anything.
  4. If you confirm, we submit the request to the carrier and send you written confirmation of what was cancelled and what is being refunded.

Emailed requests sent outside office hours are actioned on the next business day. Our phone line is open 24 hours a day, 7 days a week, so if your departure is imminent please call rather than email — we cannot guarantee an emailed cancellation will be seen before a deadline passes.

You may also be able to cancel directly with the operating carrier using the carrier's booking reference on your confirmation. If you do, please tell us, so our records match and we can release any refund of our service fee where one is due.

6. Processing Time & How You Are Refunded

  • Refunds are made to the original payment method. We cannot refund to a different card or account.
  • We submit an approved refund to our payment provider within 2 business days of the carrier authorizing it.
  • Funds typically appear on your statement within 5–10 business days from that point, though the exact timing depends on your bank or card issuer.
  • Where the carrier issues a travel credit or voucher rather than cash, it is issued in the passenger's name under the carrier's terms, and its expiry and conditions are the carrier's.
  • If a carrier takes longer than expected to authorize a refund, we will tell you where it stands rather than leave you waiting.

7. Carrier Cancellations & Disruption

If the operating carrier cancels your train, significantly delays or reschedules it, or otherwise fails to provide the service you booked, you are normally entitled to a full refund or rebooking onto an alternative service, regardless of fare type — that entitlement comes from the carrier's conditions of carriage and from applicable passenger-rights law, and it overrides the fare-type rules in section 3.

In that situation we will refund our service fee as well (section 4), help you claim from the carrier, and rebook you if you would like us to. We pass on carrier disruption notices as soon as we receive them, but carriers do not always notify intermediaries first — please also check the carrier's own status information before traveling.

Compensation for consequential losses caused by a delay or cancellation — missed connections, accommodation, alternative transport — is a matter between you and the carrier under its conditions of carriage. We will help you make that claim, but we are not the party liable for it.

8. No-Shows & Unused Tickets

If you do not travel and do not cancel before the carrier's deadline, the ticket is usually treated as a no-show and generally has no residual value. Some carriers allow a partial refund or credit on application; we will ask on your behalf, but we cannot promise an outcome. If you missed your train because of a carrier delay on a connecting service, tell us — that is usually handled under section 7 instead.

9. If We Make a Mistake

If a booking does not match what you authorized on the call — wrong date, wrong route, wrong passenger name, wrong amount charged — contact us and we will correct it at our own cost, including any carrier change fee, and refund our service fee in full. If the booking cannot be corrected, we will refund you in full. We keep a record of what was agreed on each call precisely so that this can be checked quickly.

10. If You Are Not Satisfied

If you disagree with a refund decision, ask us to escalate it. We acknowledge complaints within 1–2 business days, tell you who is handling it, and aim to resolve within 10 business days; where the decision rests with the carrier and takes longer, we keep you updated.

If you see a charge you do not recognize, please contact us before raising a dispute with your bank — in almost every case we can trace and correct it faster than a chargeback can. This does not affect your right to dispute a charge with your card issuer.

Nothing in this policy limits your rights under applicable consumer protection law, or any refund or compensation right you have under a carrier's published passenger-rights obligations. Where this policy conflicts with a right you have by law, the law prevails.
